Conditions of Hire

1.

Bookings

Bookings must be made via the website.

The Booking Clerk, Julie Fretwell, can be contacted on 07469 016745 or by email [email protected] 

Pre-payment is required to secure your booking.

Verbal requests are not binding until formal application has been received via the online booking system.

Regular bookings and non-profit community groups based in the parish of Ivinghoe, may be eligible for a lower rate of payment, at the discretion of the committee.

 

Keys must be returned to the Town Hall keysafe on leaving the building.

Loss of keys would be chargeable.

2.

Payments

Electronic payments are  preferred.

(Cheques may be acceptable by arrangement)

Payment is requested promptly upon invoice.

 Payments should be made to Ivinghoe Town Hall Management Committee; full payment details will be on the invoice

3.

Cancellation

In the event of cancellation, a refund will only be considered if 7 days written notice is given to the Booking Clerk via the online booking system.

4.

Capacity

Attendance at the Town Hall is limited, by law as follows

Close Seating / Theatre Style - 120

Dancing / Seated at Tables - 60

These numbers must not be exceeded

5.

Period / Block Bookings

For regular bookings, the Management Committee will consider weekly/monthly invoicing in arrears. 

The Management Committee reserves the right to withdraw this facility at any time.

6.

Music, Dancing and Alcohol Licences

The Town  Hall is licenced for Music and Dancing between 14.00 and 23.45 only.

The Town Hall is not licensed for the sale or serving of alcohol to club members. A ‘Temporary Event Notice’ would need to be applied for from Buckinghamshire Council and a copy should be sent to the Booking Clerk.

If alcohol is served to guests without payment (eg, at a party or wedding) then a licence is not required.

7.

Fire and Emergency Regulations

Hirers must familiarise themselves with the fire and emergency information displayed on the notice board in the Town Hall.

8.

Noise

Music and Disco amplification must be controlled; please consider our neighbours and the Town Hall licence!

9.

Kitchen

There is a range of electrical equipment available for use, with instructions.

The hot water urn must not be removed from the kitchen and the extractor fan must be ON, when it is being used.

60 place settings of crockery and cutlery are available for the use of Hirers.

Please note that this is a preparation and reheating kitchen – it is not equipped or suitable for cooking.

10.

Front Door Bell

This may be switched on for the benefit of late arrivals. It is located on the right hand wall in the Entrance Hall.

11.

Hanging items

Please only use masking tape or White Tac for decorations to avoid damage.

12.

Chair Lift

If you have indicated on your Booking Form that you wish to use the chair lift, you will be advised on it’s use.

It must be returned to the Stop/Charging position after use. Failure to do so may result in an additional charge if an engineer callout is required.

13.

Cleaning

The Hirer should ensure that all areas are left in a clean condition and are put away, as found, at the end of the Hire period. Floors should be swept and all rubbish should be removed.

The Committee reserve the right to add such other Special Conditions, as they consider necessary.
