IVINGHOE TOWN HALL – Terms and Conditions

FEES ARE SUBJECT TO THE CONDITION THAT THE HALL IS LEFT CLEAN, TIDY AND WITHOUT DAMAGE.

PLEASE ENSURE ALL RUBBISH AND BOTTLES ARE TAKEN AWAY AS DISPOSAL FACILITIES ARE NOT AVAILABLE

CONDITIONS OF BOOKING:

Please note that smoking is not allowed in the Hall – by law.

Bookings:

Bookings must be made through the booking system on this web site. All bookings will be provisional until confirmed by email from the bookings secretary. If for any reason bookings are unable to be made through the web site the bookings secretary will take a verbal provisional booking  which will be confirmed by email or in writing. In the case of period/block bookings these will be taken provisionally by the bookings secretary and confirmed in writing.

Payment:

Payment must be made through the on-line booking system (when available) or by cheque on confirmation of the booking. If payment is not received within 7 days from confirmation the booking will be cancelled. Period/Block Bookings. Payment is requested promptly upon invoice prior to the fist hiring date. The Management Committee reserves the right to withdraw this facility at any time.

Cheques should be made payable to: Ivinghoe Town Hall Management Committee and sent direct to the Treasurer: David Cook, 6 Windmill Close, Ivinghoe, Leighton Buzzard, Beds, LU7 9EW. Tel: 01296 677615.

Cancellation:

Fees are payable in full unless 7 days notice is given.

Music and Disco Amplification:

This must be controlled to avoid nuisance to nearby residents. Failure to do so will result in the event being  cancelled immediately.

Hot Water Urn:

This must not be removed from the kitchen. The Extractor must be “On” during use in the kitchen.

Library Hours:

The Town Hall is not normally for hire during Library opening hours – except by special agreement – in order to ensure no disturbance. (Quiet activities only permitted e.g., No Parties, Music or Dancing).

Crockery:

The approximate 50 place settings of crockery are available for all events as part of the hiring charge.

Numbers:

Attendance at the Town Hall is limited, by law, to 120 close seating. This is reduced to a maximum of 60 for dancing or for attendees seated at tables.

Hire of Chairs and Tables:

At the discretion of the Committee, chairs and tables may be hired for use at Ivinghoe village events. The charges are: Chairs – 15p; Wooden Tables – 50p each.

Licences:

The Town Hall is licensed for music and dancing between 14.00 and 23.45 only; but NOT for the sale of alcohol. For this a “Temporary Event Notice” is required. The Hirer should obtain this from Aylesbury Vale District Council.

Fire and Emergency Regulations:

Hirers must familiarise themselves with the fire and emergency information displayed on the Notice Board.

Police Advice:

The Thames Valley Police have requested that all discos and parties WITH ALCOHOL are notified to them.

Front Door Bell:

A front door bell may be switched on for the benefit of late arrivals. (Located on the right wall in the Entrance Hall).

Window Keys:

These are included with the keys supplied to Hirers. Instructions, as to use, are displayed in the Hall.

Kitchen:

There is a range of electrical equipment available. Notices for their use are displayed. Please read before use.

Decoration:

Please use only ‘Masking Tape’ or similar on Walls & Floor. (NO DUCK TAPE etc ~ damages surfaces).

Chair Lift:

Must be returned to Stop/Charging position after use. (Key is required to use ~ contact Hall Secretary ~ 01296 660680).

Please ensure the Hall is left in a clean and tidy condition and check that all equipment has been turned off before leaving.

The Committee reserve the right to add such other Special Conditions, as they consider necessary.
